How Much Does Reputation Management Software Cost?
Published starting prices, setup fees and contract terms for 25 reputation management vendors, and what to ask the 13 that do not publish a price.

13 of the 25 reputation management vendors we checked do not publish a price. We read the websites of 25 review and reputation vendors on October 1, 2026 and recorded what each one publishes about price. This guide lays out the public prices, the costs behind them, and what to ask the vendors that keep pricing private.
Figures in this guide come from the vendor profiles, and each profile links to the page the figure came from.
None of the 25 positions med spas as its only market, but DemandHub, Emitrr, Podium, ReviewInc, Swell and Weave each publish a page aimed at med spas (ReviewInc's covers med spas and wellness). The prices in this guide are the public prices on their websites.
How do reputation management vendors charge?
The published prices are not charged on one base. Four models show up in the data:
- Flat monthly subscription. NiceJob sells Starter at $75/mo and Broadly sells Standard at $399/mo.
- Per location per month. LocalClarity and Reputation price this way, and so do the multi-location plans at GatherUp and Grade.us at $60/mo per location. Every new site adds a line to the bill.
- Per provider or per profile. RepuGen charges a monthly fee per provider, with rates shown after you complete a form. Merchynt charges $50/mo per Google Business Profile.
- Per year, by company count. Trustindex sells yearly plans starting at $65/year for one company.
The base matters as much as the number. A per-location price is small for your first site and doubles with the second. Work out the total for the practice you have now and the one you expect in a year.
What do vendors that publish a price charge?
12 of the 25 vendors we checked publish a price. Nine of them publish a monthly starting price in US dollars:

The other three publish prices on different bases:
- LocalClarity starts at $6/location/mo billed yearly, with a free Solo plan for a single location on Google only.
- Reputation starts at $80/location/mo for Rep Core: review collection, requesting and AI responding, plus business listings and SEO.
- Trustindex starts at $65/year for a single company, with widgets drawing on 133 review platforms.
Entry prices are not the whole picture. BrightLocal's $31 Track plan does not include reputation tools; those start with the Grow plan at $49/mo. Weave's Base plan, from $199/mo, lists no review feature. Doctible's home page shows a Gold plan at $199/mo, while reputation management sits in the Build plan, whose price is not published. Check that the plan at the advertised price is the plan that does the job you are buying for.
Which vendors do not publish a price?
13 of the 25 do not publish a price: Birdeye, Cloutly, DemandHub, Demandforce, Emitrr, PatientTrak, Podium, RepuGen, ReviewInc, ReviewTrackers, Solutionreach, Swell and Yext.
A private price is not a sign of a bad product, but it changes how you buy. Several of the 13 publish plan names and feature lists with no numbers: RepuGen shows Essentials, Growth and RepuGenie plans with rates shown only after a form, and ReviewInc lists Monitor, Basic, Pro and Enterprise with no prices. Get the quote in writing before you compare it.
What costs sit behind the headline price?
- Setup and onboarding. 4 of the 25 state a policy. Broadly lists $350 for onboarding and setup on its Standard and Pro plans. GatherUp's FAQ says there are no hidden fees, ReviewGrower says none, and Demandforce's terms say add-on services may carry installation or setup fees as quoted. For the rest, ask before you sign.
- Messaging credits. Text review requests are metered on some plans. ReviewGrower's Lite plan includes 200 SMS review requests and its Grow plan 2000. Cloutly includes 50 to 200 SMS credits a month depending on plan and sells extra credits as pay-as-you-go packs.
- Add-ons. Trustindex prices some add-ons at 29 USD per source per year. Grade.us sells White Label Premium at $440 annually. ReviewTrackers lists add-ons including local listings management, local search rank, managed services and white label. Reputation lists upgrades such as Competitive Insights, Social Suite, Premium Sources, Premium Integrations and Managed Services separately. Doctible's FAQ says there are no additional fees beyond those stated in the agreement.
How long is the contract?
20 of the 25 state a minimum term somewhere on their sites, and they differ a lot:
- Month to month. 10 of the 25 state it: BrightLocal, Broadly, Cloutly, Doctible, GatherUp, LocalClarity, Merchynt, NiceJob, RepuGen and ReviewGrower.
- A year or annual billing. Trustindex sells one-year plans that renew automatically. ReviewTrackers is paid annually. Solutionreach states a yearly contract. Demandforce states 12 months, then month to month.
- Set in the order form. Birdeye, DemandHub, Swell and Weave set the term on the order form. Birdeye's terms auto-renew for the same period unless you give notice 90 days before renewal, and Weave's terms require paying the remaining balance to end a stated term early. The length is set in a document you see during the sale, so read it closely.
17 of the 25 publish how cancellation works. Broadly allows cancellation at any time with billing stopping at the end of the current month. Grade.us takes cancellation by email, with no refunds and access running to the end of the paid period. Birdeye's terms call payment obligations non-cancellable and require 90 days written notice of non-renewal.
One question to ask: who keeps the reviews, contacts or content in your account after you cancel. A few publish export terms, and they differ. GatherUp says customers and reviews can be exported at any time, Cloutly says customer data can be exported as CSV at any time and on request for 30 days after termination, Grade.us covers reviews it collected directly before you cancel, and RepuGen makes data available for export or download for 30 days after termination.
Can you try before you buy?
24 of the 25 offer a free demo or audit. Podium is the only one whose site does not state a demo or audit, and its pricing is quote only.
14 of the 25 state a free trial. A demo is a guided walkthrough; a trial is hands-on use on real review requests. Three vendors also state a refund window: RepuGen has a 90-day money-back guarantee on all plans, Cloutly has a 30-day money-back guarantee for new self-serve customers, and Trustindex offers a refund if requested within 30 days of purchase.
What should you ask a vendor that does not publish a price?
- What is the total monthly cost for my number of locations, providers and staff?
- Is there a setup, onboarding or data migration fee?
- Which features cost extra, and what does each one cost? Ask about text message credits, review replies, listings and white label.
- How long is the contract, how does it renew, and how much notice does cancellation need?
- What happens to my review history and customer lists if I leave?
- Will you sign a business associate agreement?

Does reputation management software need to be HIPAA compliant?
16 of the 25 vendors we checked publish a statement about supporting HIPAA. LocalClarity's terms say its service is not designed to comply with HIPAA and may not be used where communications would be subject to it. A statement is not a signed agreement, so if patient names or appointment details will pass through the tool, ask the vendor to sign a business associate agreement before you buy.
