Half of the med spa software market will not tell you its price until you sit through a demo. We read the websites of 22 practice management platforms on October 1, 2026 and recorded what each one publishes. This guide lays out the prices that are public, the costs that sit behind the headline number, and what to ask the vendors that keep pricing private.

What do med spa software vendors charge?
11 of the 22 platforms publish a price. Eight of them publish a monthly starting price in US dollars:

Yocale's home page says there are no contracts, while its terms set an initial subscription term that renews automatically. Ask which one applies to you.
These prices are not like for like. Some are per user, some are per location, and some cover a set number of users. A price per user looks small for a solo injector and grows with every hire. A price per location is the reverse. Work out the total for the team you have now and the team you expect in a year.
Pabau, Calysta Pro EMR and ClinicSoftware.com also publish pricing, in forms that don't fit a simple monthly dollar figure. Their profiles show the details.
Which vendors do not publish a price?
These 11 ask you to contact sales: Consentz, Meevo, Moxie, Nextech, PatientNow, Podium, Portrait, Prospyr, Remedly, Symplast and Zenoti.
A private price is not a sign of a bad product. It does mean you should get the full quote in writing before you compare it with anything in the table above.
What costs sit behind the headline price?
The monthly fee is rarely the whole bill. Three things to pin down:
- Setup and onboarding. Only 7 of the 22 state their policy. Aesthetic Record lists a $399 startup and onboarding fee. Mangomint says onboarding and data transfer are free.
- Add-ons. Features you may assume are included can be extras. Aesthetic Record lists e-prescribing at $40 to $45 per prescriber. Mangomint lists phone at $70 per month per line and payroll from $50 per month plus $8 per worker.
- Payment processing. Most platforms run card payments through their own processor. Rates are often not on the pricing page, so ask for them.
How long will you be locked in?
15 of the 22 state a minimum term somewhere on their site, and they differ a lot:
- Month to month. 7 platforms state it: Aesthetic Record, Aesthetix CRM, Calysta Pro EMR, GlossGenius, Mangomint, OptiMantra and Pabau.
- One year. AestheticsPro and Symplast state a one-year term. Meevo states an annual contract. ClinicSoftware.com's terms state 12 months.
- Set in the order form. Zenoti and PatientNow say the term is set in the order and renews automatically. You will only see the length during the sale, so read that form closely.
11 of the 22 publish how cancellation works. For the others, ask how much notice is required and what happens to your data when you leave.
Can you try before you buy?
21 of the 22 offer a free demo. A free trial is less common: 7 state one. A trial lets your front desk and injectors use the product with no salesperson in the room, which tells you more than a demo does.
What should you ask a vendor that won't publish a price?
- What is the total monthly cost for my number of providers, staff and locations?
- Is there a setup, onboarding or data migration fee?
- Which features cost extra, and what does each one cost?
- What are your card processing rates?
- How long is the contract, how does it renew, and how do I cancel?
- How do I get my patient records and photos out if I leave?
- Will you sign a BAA?
