How Much Does a Med Spa CRM Cost?

Published starting prices, setup fees and contract terms for 26 med spa CRM platforms, and what to ask the 17 that do not publish a price.

17 of the 26 CRM and lead management platforms in this category do not publish a price. We read the websites of all 26 platforms on October 1, 2026 and recorded what each one publishes about price, fees, terms and trials. This guide sets out the prices that are public, the costs that sit behind them, and the questions to ask the vendors that do not publish a price.

How do med spa CRM vendors charge?

The 9 platforms that publish a price do not charge the same way:

  • Per user. Spruce Health starts at $24 per user/mo and LeadSpheres at $29 per user/mo. That looks small for a solo injector and grows with every seat you add.
  • Flat plan, unlimited users. HighLevel starts at $97/mo with unlimited contacts and users, and Chekkit's Business plan is $149/mo with unlimited users at no extra cost.
  • Base plan plus bundles. Weave starts at $199/mo and sells scheduling, marketing and AI receptionist bundles on top of the base plan.
  • Whole platform. Keap charges from $299/mo for the entire platform, with the price set by users and contacts.
  • Plan plus metered messaging or calling. Aesthetix CRM starts at $299/mo with a monthly allowance of messaging credits. OhMD starts at $300/mo and bills calling usage separately.
  • Software plus managed services. PatientGain sells the CRM app on its own at $99/mo and managed marketing tiers from $899/mo.

Two things to watch. The basis differs: a price per user and a price per plan produce different totals for the same practice, so work out the total for the team you have now and the one you expect in a year. And these are starting prices: Weave's bundles, OhMD's calling minutes and Aesthetix CRM's extra messaging credits all raise the bill.

PatientGain's own CRM page shows the app at $99/mo and also says pricing starts at $499/mo. Ask which figure applies to what you are buying.

Which vendors do not publish a price?

These 17 do not publish a price on the pages we checked: ActiveCampaign, Birdeye, DemandHub, Demandforce, Emitrr, Growth99, Liine, MDprospects, MyMedLeads, PilotPractice, Podium, Recura, RepeatMD, Solutionreach, Swell, Textline and TouchMD.

A missing price is not always a blank page. Growth99 publishes three plans and what each includes, without dollar amounts. Solutionreach names four packages and states yearly contracts. Textline sets its price by features, agents and message credits. Liine prices by usage. MyMedLeads charges one fee per office with unlimited users. Swell prices per location. TouchMD's terms set the monthly rates in an order form. A model without an amount still tells you what moves the price: seats, locations or volume.

What costs sit behind the headline price?

Setup and onboarding. 6 of the 26 state their policy. Aesthetix CRM's terms require onboarding with a fee starting at $1,500. Keap says implementation services are required and does not show their price on its pricing page. Liine states white-glove onboarding with no implementation fee. PatientGain offers $0 upfront setup on a 12-month contract and charges setup on month-to-month. Spruce Health says it may require an onboarding fee for larger practices. Demandforce's terms say add-on services may carry installation or setup fees, as quoted.

Usage and add-ons. Aesthetix CRM charges for messaging credits beyond the included allowance, an AI Employee add-on at $299 per account per month, WhatsApp integration at $29 per month, and EMR integrations priced separately. Chekkit lists AI voice minute add-ons from $39 a month. LeadSpheres charges $7, $14 or $45 a month for extra seats, depending on the plan. HighLevel notes usage-based charges for messaging, calling and some AI features. PatientGain charges an 18% fee on managed Google and Meta ads on its Growth tier. Growth99's terms list a $35 late fee and a $100 reactivation fee.

Compliance. A BAA is not always bundled. Textline sells HIPAA-compliant plans for an additional fee. HighLevel says HIPAA compliance requires the HIPAA module to be enabled and a BAA signed, and its Enterprise plan lists HIPAA compliance as included. OhMD includes a BAA in all agreements, and Spruce Health includes one with every trial and paid plan. 21 of the 26 state HIPAA support somewhere on their site.

Getting your data out. 3 of the 26 state how you get your data out. Aesthetix CRM allows CSV and JSON export during the subscription and for 90 days after it ends. MDprospects states complete record export in HTML, CSV and XLS. TouchMD's terms say that on request within 30 days after termination it makes a file of your data available for download at its then-current price.

How long is the commitment?

16 of the 26 state a minimum term on their site:

  • Month to month. 6 state it: Aesthetix CRM, Chekkit, LeadSpheres, MyMedLeads, PatientGain and Spruce Health. Spruce Health says larger practices may be asked for an annual commitment, and PatientGain pairs month-to-month with a setup fee.
  • A year. Demandforce states a 12-month initial term, then month to month. Growth99 states a 1-year term that renews automatically for successive 1-year terms. Solutionreach states yearly contracts.
  • Set in the order form. Birdeye, DemandHub, Liine, Swell, TouchMD and Weave set the term in the order form. Weave's terms say early termination of a stated term means paying the balance for the rest of the term. Emitrr's terms say subscriptions renew automatically for the same length.

19 of the 26 publish how cancellation works. Refunds are a separate question: the published terms at Growth99 say all sales are final, Weave's say there are no refunds for cancellations, and Aesthetix CRM's say all payments are non-refundable and that cancellation requests by SMS, email or phone are not honored.

Can you try before you buy?

25 of the 26 state a free demo or audit. Podium is the exception on the pages we checked. 8 platforms state a free trial: ActiveCampaign, DemandHub, Emitrr, HighLevel, Keap, LeadSpheres, Spruce Health and Swell. Where the length is stated, it is 14 days. A trial tells you something a demo cannot: your front desk and coordinators use it with no salesperson in the room.

What should you ask a vendor that will not publish a price?

  1. What is the total monthly cost for my number of providers, staff and locations?
  2. Is there a setup, onboarding or data migration fee?
  3. What is metered: messaging credits, calling minutes, extra seats, HIPAA plans?
  4. How long is the contract, how does it renew, and what notice does cancellation need?
  5. What do I owe if I end a stated term early?
  6. How do I get my lead and patient data out if I leave, and what does that cost?
  7. Will you sign a BAA?
