We read the websites of 21 booking and payments platforms on October 1, 2026 and recorded what each publishes about price, contract terms, data and proof. This guide turns that record into a checklist.
What does booking software do for a med spa?
Booking software takes appointments off the phone and puts them on a page clients can use at any hour. The core of these products is a calendar, an online booking page, automatic reminders and card payments at checkout. Deposits and no-show fees matter in a med spa: a missed treatment slot is time you cannot sell again.
The differences sit on top of that core: some add clinical work such as consent forms and charting, and at least one states plainly that it is not a medical records system.
What does it cost?
18 of the 21 platforms publish a starting price. Three do not publish one: Meevo, RepeatMD and Zenoti. Among the 18, 13 publish a monthly starting figure in dollars:

Booksy is a flat $29.99/mo plus $20/mo for each additional team member, Ovatu is US$25/mo for the first employee plus US$7 for each additional one, and Mangomint is $120/mo per location plus $10/mo per user. Price your team today and in a year, then compare totals, not headline numbers.
Four more of the 18 start at $0: Goldie (paid plans from $19.99/mo, free plan capped at 20 appointments a month), Setmore (Pro at $5/user/mo billed annually), SimplyBook.me (Basic at $13.9/mo billed monthly) and Square Appointments (paid plans from $49/mo per location). Booker publishes "Starting at $139" without stating the billing period.
What will you pay beyond the subscription?
Card processing. Fresha publishes 2.79% + $0.20 online and 2.29% + $0.20 in person. GlossGenius charges a flat 2.6%. PocketSuite charges 2.9% + $0.30 card present and 3.2% + $0.30 card not present. Mindbody's rate depends on the plan you select and is not listed. Acuity Scheduling's card fees are set by Stripe, Square or PayPal. Where the rate is not published, ask for it in writing.
Marketplace clients. Fresha charges a 20% one-time commission on new marketplace clients, with a minimum fee of $6 per client. Booksy's optional Boost feature charges a one-time 30% fee on a new client's first visit, up to $100. Noona HQ's med spa page says its marketplace charges no commission for new clients.
Add-ons. Mangomint lists phone at $70 per month per line and payroll from $50 per month plus $8 per worker. Boulevard sells its forms add-on from $65 per month per location and e-prescribing at $45 per prescriber. Zenoti bills voice, SMS and messaging on usage, plus USD 10 per month per 5GB of extra photo and file storage.
Setup and onboarding. 8 of the 21 state a policy. Zenoti's terms describe a one-time non-refundable setup fee per center; the amount is not published. SimplyBook.me sells an optional Full Setup service for a $499 one-time fee. Mangomint says onboarding and data transfer are free; Mindbody says there is no setup fee on any plan.
How long will you be locked in?
17 of the 21 state a minimum term, and 13 of the 21 run month to month. Four of the 17 do not. Meevo subscriptions are based on an annual contract. Rosy Salon Software's terms set a 12-month initial term unless its order form says otherwise, renewing for successive 12-month terms unless either party gives notice at least 90 days before the end. Mindbody's terms set a 90-day initial term unless the agreement says otherwise, renewing in 30-day periods. Zenoti sets the initial term in the order form, then renews for one-year terms automatically; either party can end it at the end of a term with at least 60 days notice.
16 of the 21 publish how cancellation works. Month to month does not always mean money back: Goldie's terms say there are no refunds or credits for partial months, GlossGenius's say fees paid are non-refundable, and Noona HQ's say previous payments are not refunded. Read the refund sentence as closely as the cancellation one.
What about HIPAA and a BAA?
A Business Associate Agreement, or BAA, is the contract that covers how a software company handles patient information. A booking system holds names, appointment histories and sometimes forms and photos; ask early.
13 of the 21 publish HIPAA support, and they do not all mean the same thing. Mangomint offers HIPAA compliance with a signed BAA for med spa customers. PocketSuite's HIPAA Statement serves as a BAA with the customer. GlossGenius provides a BAA on request. Acuity Scheduling offers a signed BAA on its Premium plan. SimplyBook.me sells HIPAA as a feature of its Standard plan, off by default, with compliance described as the customer's responsibility. Zenoti says a BAA is available. Meevo states it is a HIPAA compliant platform and its terms define a BAA. Mindbody's terms require customers subject to HIPAA to request a BAA. Setmore describes a separate Health account type as HIPAA-compliant and requiring a signed BAA.
Others describe compliance in different terms: Fresha's med spa page calls the platform HIPAA-compliant, WellnessLiving calls its waivers and consent forms HIPAA- and PIPEDA-compliant, Boulevard states the product is HIPAA compliant, and Square Appointments describes HIPAA-compatible payments and links a BAA from its user agreement.
Goldie states on its med spa page that it does not offer HIPAA compliance, a BAA, clinical charting or e-prescribing. Booker, Booksy, Noona HQ, Ovatu, RepeatMD, Rosy Salon Software and Timely do not state a position.
Can you get your data out if you leave?
5 of the 21 publish something about getting data out: Mangomint says you can take all your data with you when you cancel, WellnessLiving's terms provide an electronic copy of your business information on request up to 30 days after termination, PocketSuite has a data export in its settings, SimplyBook.me exports clients to Excel, and Rosy Salon Software exports reports in multiple formats. For everyone else, ask what happens to client records, photos and consent forms when you leave.
What proof do vendors publish?
3 of the 21 publish a case study with a stated result. Meevo quotes a customer whose prebook rate went from 19% to 83%. RepeatMD titles a webinar about Meesha Aesthetics selling $130k in a day. WellnessLiving quotes a fitness business, Advantage Personal Training, that grew 395% after switching. Some name clients instead of results: Square Appointments quotes LaserAway, Boulevard names RUMA Aesthetics, Mangomint names Bare Laser Medspa, and GlossGenius says its med spa software is trusted by 5,000+ practices. A name is not a result, so ask for the number.
What should you ask on a sales call?
- What is the total monthly cost for my number of providers, staff seats and locations?
- What is your card processing rate, and which features cost extra (forms, charting, e-prescribing, phone, SMS, payroll)?
- Is there a setup, onboarding or data migration fee, and is it refundable?
- How long is the contract, how does it renew, and how much notice does cancellation need?
- Will you sign a Business Associate Agreement, and what does it cover?
- How do I get client records, photos and consent forms out if I leave?
- What results have practices like mine seen, and can you put the numbers in writing?

Do I need a HIPAA-compliant booking system for a med spa?
