Zenoti alternatives for med spas

Zenoti sells to med spas from single locations to enterprise franchises, but its pricing page asks for a quote on both plans and its terms add a non-refundable setup fee per center and automatic one-year renewals. Every alternative on this page publishes its price model, and five of the six run month to month.

MedSpaVendorGuide does not sell any of the products compared here, and nobody paid to be on this page. Every vendor fact comes from the vendor's own website and links to its source, and the order is the computed score, which counts what each vendor publishes, not how good it is.

Why do med spa owners look for a Zenoti alternative?

Zenoti sells one operating platform to salons, spas, medspas and fitness businesses, and the medspa edition adds charting, injectable tracking by lot number, before and after photos, digital consent and e-prescribing.

Its pricing page names two plans, Zenoti OS and AI Plus, and asks for a quote on both instead of showing a price.

The terms and conditions add a one-time non-refundable setup fee per center with no amount on the site, an initial term set in the order form, automatic one-year renewals, and a 60-day notice to end the agreement at a term boundary.

A single-location med spa therefore cannot work out a monthly cost or an exit cost from Zenoti's own pages, and that is the gap the alternatives below fill.

Zenoti does publish a lot else: its home page counts 30,000+ salon, spa and medspa businesses across 50+ countries, its success stories include the medspa B12 Love, and its medspa pages state HIPAA compliance with a BAA available.

The six alternatives are all in the practice management software category, and the comparison table above sets their published prices and terms next to Zenoti's.

Who is each alternative for?

Fit differs more than the feature lists do: three of the six are built for aesthetic practices only (Aesthetic Record, PatientNow and Aesthetix CRM, the last a CRM you run next to the EMR or booking system you already have), while Pabau serves clinics and medical spas, Mangomint salons, spas and med spas, and GlossGenius beauty, wellness and medspa businesses.

Pabau

Pabau is practice management software for clinics and medical spas, priced per user with plans named by team size: Solo for one user, Team for 2 to 3, Medium for 4 to 5, Group for 6 to 15, and Enterprise for 16 or more with multi-location supported.

Its med spa page publishes a starting price of $59, and the larger team sizes are priced by demo.

The monthly subscription runs on a 30-day rolling contract with 30-day notice, new customers can cancel within 30 days of payment for a full refund, and prepaid 12, 24 or 36-month terms are discounted.

Its med spa page lists image markup, injection plotting, customizable consent forms and an injectables consent form, and support runs 24 hours a day over live chat, tickets, video call, WhatsApp and phone.

The details are set out further in the Pabau vs Zenoti comparison.

Aesthetic Record

Aesthetic Record sells an EMR and practice management platform for med spas and aesthetic clinics, with per-user plans at $15 and $19 a month and an Enterprise plan priced by contact.

It publishes a $399 startup and onboarding fee, a 14-day risk-free trial, and month-to-month or annual terms that either party can end with 30 days notice.

Its pricing page covers procedure charting, high-resolution photo management, medical director oversight, before and after videos and an ASPIRE Galderma Rewards integration.

E-prescribing is a separate add-on at $40 to $45 per prescriber, and training beyond the 90-day guided onboarding is $99 an hour.

Mangomint

Mangomint serves salons, spas and med spas, charges $120 a month per location plus $10 a month per user, and includes onboarding and data transfer free.

There is no contract, cancellation is allowed at any time, and the pricing page says you can take all your data with you when you leave.

Its med spa pages address single-location and multi-location medspas, and list SOAP notes, image markup, before and after photo tracking, consent and intake forms, a Good Faith Exam integration with Docovia and a telehealth integration with Doxy.me.

It also publishes a free trial and HIPAA compliance with a signed BAA for med spa customers, set up through support.

The Aesthetic Record vs Mangomint comparison sets the two side by side.

GlossGenius

GlossGenius sells booking, payments and marketing software, and lists a separate medspa and aesthetics plan set next to its beauty and wellness plans.

The medspa plans are Practice Essentials at $168 a month and Practice Advanced at $298 a month, or $148 and $248 billed annually, and its beauty and wellness plans start at $24 a month billed annually.

Card processing is a flat 2.6%, instant payouts cost 1.8%, payroll is $40 a month plus $6 a seat, and the reception call-answering add-on is $50 a month.

It publishes a 14-day trial with no credit card, no contracts, cancellation at any time, and a Business Associate Agreement on request.

Its pages address solo providers through multi-location businesses, and its medical spa page says the product is trusted by 5,000+ practices.

Aesthetix CRM

Aesthetix CRM is a CRM and marketing automation platform rather than a full EMR: its pricing page names integrations with the EMR and booking systems aesthetic practices use, Zenoti among them.

Plans run $299, $399 and $499 a month with unlimited contacts and users, plus custom pricing for multi-location.

Onboarding is required and starts at $1,500, and messaging credits beyond the plan, A2P registration, an AI Employee add-on at $299 a month and WhatsApp at $29 a month all cost extra.

Month-to-month plans are cancelled through a form on its site, payments are non-refundable, and data exports in CSV and JSON during the subscription and for 90 days after it ends.

Support is 24/7 live chat, and its HIPAA page says accounts that process PHI need a signed BAA requested by email.

PatientNow

PatientNow sells an EMR and practice management platform whose home page says it is built only for aesthetic medicine, with plans named Standard, Amplify and Catalyst.

Like Zenoti it publishes no prices: the pricing page says pricing is tailored to your practice and routes you to a demo.

Its terms set the contract term in the order, renew automatically for the longer of the original term or twelve months, and require 60 days written notice to stop a renewal, with fees nonrefundable unless stated otherwise.

It is the only one of these seven vendors with a customer result published on its site: Touch MedSpa increased consultation conversions to 90% with RxPhoto, the photo tool in its plan lists.

Its plan lists add treatment quoting, before and after photos, loyalty and memberships, and AI-generated SOAP notes.

What does each alternative charge outside the headline price?

The add-ons and fees in this section come from each vendor's own pricing or terms pages.

  • Zenoti bills voice, SMS and messaging on usage and charges USD 10 per month per 5GB of extra photo and file storage, and its per-center setup fee is non-refundable with no amount stated.
  • Aesthetic Record charges $399 to start, $40 to $45 per prescriber for e-prescribing, and $99 an hour for additional training.
  • Pabau lists optional add-ons with Engage Plus priced per location, and says setup, training and data migration fees are non-refundable without stating the amounts.
  • Mangomint prices its phone add-on at $70 a month per line, payroll from $50 a month plus $8 per worker, and marketing plans from $30 a month.
  • GlossGenius charges a flat 2.6% for card processing, 1.8% for instant payouts, $40 a month plus $6 a seat for payroll, and $50 a month for its reception add-on.
  • Aesthetix CRM requires onboarding starting at $1,500, and charges separately for messaging credits beyond the plan, A2P registration, its $299 a month AI Employee add-on and WhatsApp at $29 a month.
  • PatientNow states no setup or onboarding fee on its site.

How do the contracts compare?

Zenoti sets the initial term in the order form and renews it automatically one year at a time, with either side able to leave at a term end on 60 days notice.

PatientNow's terms cover the same three points, with renewals the one difference: the term is set in the order and 60 days written notice stops it, but renewal runs for the longer of the original term or twelve months, where Zenoti renews one year at a time.

Five of the six alternatives publish month-to-month terms: Pabau on a 30-day rolling contract, Aesthetic Record on a month-to-month or annual basis, Mangomint and GlossGenius with no contract and cancellation at any time, and Aesthetix CRM on month-to-month billing cancelled through its site.

Refund wording differs: Pabau gives new customers a full refund if they cancel within 30 days of payment.

The non-refundable wording across the group includes Zenoti's setup fee, Pabau's setup, training and data migration fees, Aesthetix CRM's payments and GlossGenius's fees paid.

Three vendors publish what happens to your data if you leave: Mangomint says you take it all with you, Aesthetix CRM allows CSV and JSON export during the subscription and for 90 days after, and PatientNow says its team helps you export it.

What should you ask before you decide?

The gaps above turn into direct questions on a demo call.

  • Ask each quote-only vendor, Zenoti and PatientNow, for the total first-year cost including setup and onboarding for your number of locations and users.
  • Ask Zenoti what initial term would go in the order form for a business your size, since only the one-year renewal cycle is on its site.
  • Ask Pabau what a Team or Medium plan costs at your location, since its published $59 is a starting price and the larger plans are priced by demo.
  • Ask Mangomint how long its free trial runs, because the pricing page publishes the trial without a stated length.
  • Ask each vendor you demo how your data comes out if you cancel, since only three of the seven publish an export policy.
  • Ask how a Business Associate Agreement is handled if you store patient records: Mangomint sets one up through support, Aesthetix CRM requires one by email, GlossGenius provides one on request, and Zenoti says a BAA is available.

Questions and answers

What are the alternatives to Zenoti for a med spa?

The six alternatives covered here are Pabau, Aesthetic Record, Mangomint, GlossGenius, Aesthetix CRM and PatientNow, all practice management software that names med spas. Pabau, Aesthetic Record, Mangomint and GlossGenius publish starting prices; Aesthetix CRM publishes CRM plans from $299 a month and integrates with Zenoti; PatientNow, like Zenoti, gives pricing in a demo. For multi-location groups that accept a quote process, Zenoti remains on the table alongside them.

Is there a cheaper alternative to Zenoti for a med spa?

Zenoti publishes no price, so its cost cannot be compared from its own site. Published starting prices among the six run from $15 per user per month at Aesthetic Record, plus its published $399 startup and onboarding fee, to $299 a month at Aesthetix CRM, which adds onboarding from $1,500. GlossGenius starts at $24 a month billed annually, Pabau at $59, and Mangomint at $120 a month per location plus $10 per user.

Does Zenoti publish its prices?

No. Its pricing page names two plans, Zenoti OS and AI Plus, and each carries a quote request instead of a price. Its terms add a one-time non-refundable setup fee per center with no amount stated, an initial term set in the order form and automatic one-year renewals. A free demo is published on its medspa pages, while a free trial is not mentioned.

Which Zenoti alternatives run month to month?

Five of the six: Pabau on a 30-day rolling monthly contract, Aesthetic Record on month-to-month or annual terms, Mangomint and GlossGenius with no contract and cancellation at any time, and Aesthetix CRM on month-to-month billing cancelled through a form on its site. PatientNow does not publish a month-to-month option; its term is set in the order and renews for the longer of the original term or twelve months.

Which alternatives are built for med spas rather than salons?

PatientNow's home page says its platform is built only for aesthetic medicine, and Aesthetic Record sells an EMR for med spas and aesthetic clinics. Pabau targets clinics and medical spas, Mangomint serves salons, spas and med spas with published med spa features, and GlossGenius lists a separate medspa and aesthetics plan set. Zenoti itself serves salons, spas, medspas and fitness businesses from one platform.

What should I ask on a demo with a quote-only vendor?

Ask for the total first-year cost including setup or onboarding, since Zenoti names a per-center setup fee without an amount, PatientNow states no setup or onboarding fee, and Aesthetix CRM's onboarding starts at $1,500. Ask what minimum term would be written into the order for your location count and what notice it takes to leave. Ask how your data comes out if you cancel, and how a Business Associate Agreement is handled if you store patient records.
